Understanding HubSpot's Two List Types
If you're new to HubSpot, you've probably noticed there's more than one way to organize your contacts. The good news is that once you understand the difference between active and static lists, you'll know exactly which tool to reach for in any situation. Active Lists: Your Dynamic Contact Segmentation
Active lists are the chameleons of HubSpot. They're constantly updating in real time based on criteria you set. Whenever a contact meets your specific requirements, they automatically join the list. If they no longer match those criteria, they automatically exit. It's hands-off automation at its finest.
Think of active lists as living, breathing segments. You set the rules once, and HubSpot does the heavy lifting. They're perfect when you need your list to stay current without manual intervention.
Static Lists: Your Snapshot in Time
Static lists are the opposite. They're a snapshot of your contacts at the exact moment you create them. Once you save that list, it stays frozen unless you manually update it. No new contacts automatically join, and existing contacts don't automatically leave.
These are great for historical tracking, one-time campaigns, or when you need a permanent record of who qualified at a specific moment.
How To Create An Active List
- Navigate to your Contacts section in HubSpot
- Click on Lists in the left sidebar
- Hit the orange Create List button on the right side
- Choose Contact Based as your list type
- Select Active List
- Click Next
- Add your filter criteria (for example: First Name starts with J)
- Click Save
Your active list will now populate with all contacts matching your criteria and will update automatically as contacts meet or stop meeting those conditions.
How To Create A Static List
- Navigate to your Contacts section
- Click on Lists
- Click Create List
- Choose Contact Based
- Select Static List
- Click Next
- Add your filter criteria
- Click Save
Your static list will show the contacts that met your criteria at that moment in time. That number won't change unless you manually add or remove contacts.
When To Use Each Type
Active lists are your go-to when you want ongoing, automated segmentation. Use them for nurture campaigns, behavioral targeting, and any situation where your audience is constantly evolving. They're especially useful for lead scoring, engagement levels, and lifecycle stage tracking.
Static lists shine when you need a historical record or one-time campaigns. Import lists, past webinar attendees, or contacts who met criteria on a specific date are all great candidates for static lists. They're also helpful when you want to preserve exactly who was in a campaign at launch time.
