Smart Form Routing in HubSpot: Direct Contacts to the Right Meeting Page

May 5, 2025

Why Smart Form Routing Matters

Here's the deal: not all leads are created equal, and they definitely don't all need to meet with the same person. When you're building a sales team, you want to make sure each human gets routed to the right team member based on their needs. That's where HubSpot form submission redirects come in. Instead of having every contact land on the same thank you page, you can intelligently route them to different meeting schedulers. It saves time, improves your human experience, and gets people talking to the right person faster.

Setting Up Your Form With Conditional Logic

Let's walk through how to build this out in HubSpot. The magic here is using conditional logic to make decisions based on what humans select on your form.

Step 1: Create Your Form

  1. Log into HubSpot and navigate to Marketing in the left sidebar
  2. Click on Forms
  3. Select Create Form on the right side
  4. Choose the New Forms Editor and pick a blank template to start fresh

Step 2: Add Your Decision Field

You'll need a field that determines the routing logic. This is typically a dropdown or multiple choice field where humans select an option. Here's how to add it:

  1. Click the Add button on the left side of your form
  2. Go to the Properties section
  3. Search for and select your decision field (like favorite food, product interest, service type, etc.)
  4. Drag it onto your form canvas
  5. Make sure to mark it as a required field so you always have the data you need

Step 3: Build Your Conditional Logic

Now comes the smart part. You're going to set up rules that say "if they pick this option, send them here."

  1. With your form selected, click on the Logic tab at the top
  2. Click Add Logic to create your first rule
  3. Set your condition: If [Your Field] equals [Option 1 or Option 2]
  4. Set your action: Redirect to [Meeting Link for Person A]
  5. Save and activate this rule

Step 4: Add Additional Routing Rules

You can create multiple logic rules for different options:

  1. Click Add Logic again for your second rule
  2. Set a different condition: If [Your Field] equals [Option 3]
  3. Set the action: Redirect to [Meeting Link for Person B]
  4. Save and activate

You can keep adding as many routing rules as you need. Each one handles a different scenario, so every human gets directed exactly where they should go.

Test Before You Launch

Here's something we always emphasize at Sidekick Strategies: always test your forms before going live. Fill it out yourself and select different options to make sure each routing path works. It only takes a few minutes and prevents embarrassing redirects to the wrong meeting link.

The Bottom Line

Smart form routing is a game changer for your sales process. You're not just collecting information, you're automating the handoff to the right person. That means faster response times, better experiences for your contacts, and more efficient use of your team's time. Set it up once, and you've got a system that works for you on autopilot.
