Why Round Robin Meeting Links Matter
If you're juggling a team and trying to keep everyone's calendars fair, round robin meeting links are about to become your best friend. Instead of humans always booking with the same person, round robin automatically distributes meetings across your available team members. It's a game-changer for improving customer experience while protecting your team's bandwidth.
How To Create Your First Round Robin Meeting Link
Let's walk through this together. The process is straightforward, and you'll have a functioning round robin link in just a few minutes.
Step 1: Navigate to the Meeting Scheduler
Log into HubSpot and head to the left sidebar. Click on "Library" and then select "Meeting Scheduler." You'll see any existing meeting links here, but we're creating something new today.
Step 2: Create a New Scheduling Page
On the right side of the screen, you'll spot the "Create Scheduling Page" button. Click it, and then select "Round Robin" from the options that appear.
Step 3: Set Up Basic Meeting Details
Now you're in the configuration section. Here's what you'll need to fill in:
- Internal Name: Give this something simple like "Round Robin Meeting" so you'll remember what it is later
- Organizer: You'll be set as the organizer by default
- Event Title: Personalize this for your humans. Try something like "Meeting with [contact first name]" using contact tokens to make it feel personal
- Location: If you've already connected Zoom or another video conferencing tool, select it here. If not, you can always add it later
- Description: Keep it brief and welcoming, like "Meet with the Team"
- Meeting Type: Choose what this meeting represents, such as "Discovery Call"
Step 4: Add Team Members
This is where the round robin magic happens. Click "Add Team Member" and select each person from your team who should be part of this meeting rotation. You can add as many team members as you need. Each person will get scheduled fairly based on availability.
Step 5: Configure Scheduling Preferences
After you've selected your team members, click "Next" to move into the scheduling settings:
- Set a URL slug for your meeting link (this'll be part of your sharing URL)
- Enable "Prioritize Contact Owner" if you want existing customer relationships to take priority
- Choose available duration options: we recommend offering both 30-minute and 1-hour slots
- Set your timezone (like Eastern Time)
- Define your working hours (9am to 5pm works for most teams)
Step 6: Customize Your Appearance
Last step involves branding. You can add a custom image or company avatar to make the booking page feel professional and on-brand. This small touch goes a long way in building trust with the humans booking your meetings.
Step 7: Allow Cancellations and Rescheduling
Before you finish, enable the option to allow contacts to cancel and reschedule their meetings. It's a courteous feature that reduces friction and shows you're flexible.
Pro Tips for Round Robin Success
Make sure each team member involved has properly configured their availability in their HubSpot calendars. If their calendars aren't synced, the round robin can't do its job fairly. Also, consider setting boundaries like "no more than 3 meetings per person per day" if your platform allows it, to prevent burnout.
Test your meeting link before you share it widely. Book a meeting with yourself to ensure everything flows smoothly and that the video conference integration is working properly.
Round robin meeting links are one of those features that seems simple but delivers serious results. Your team stays balanced, your scheduling runs smoother, and your humans get faster response times. That's a win across the board.
