Why Your Pipeline Stages Matter

If you've just acquired HubSpot Sales Hub, congratulations. You're sitting on one of the most powerful deal management tools available. But here's the thing: out of the box, it won't reflect how your business actually works. The deals section is the heart of Sales Hub, and the pipeline is its backbone. The good news? It's incredibly customizable, and we're going to show you exactly how to make it yours.

Your pipeline stages aren't just organizational labels. They're forecasting tools, workflow triggers, and visibility into where deals actually stand. That's why getting them right matters so much.

How To Access Your Pipeline Settings

Let's walk through the process step by step. Here's how you get to your pipeline configuration:

  1. Navigate to the Sales and Deals section in your HubSpot account
  2. Find the pipeline you want to edit (we'll use E-commerce Sales as our example)
  3. Look for the gear icon in the settings area
  4. If you don't see it right away, go to your left sidebar and scroll down to Data Management
  5. Click on Deals under Objects
  6. Select the Pipelines tab
  7. Choose the pipeline you want to customize
  8. Click Configure

Adding A New Deal Stage

Now that you're in the pipeline configuration, adding a new stage is straightforward. Here's what to do:

  1. Click the option to add a new stage
  2. Enter the stage name (for example: Standby)
  3. Set the deal probability percentage (this helps with revenue forecasting)
  4. Click Save

That's it. The stage is now live in your pipeline. When you go back to your deals view, you'll see that new stage ready to receive deals.

Understanding Deal Probability

One feature that makes HubSpot pipelines powerful is deal probability. This percentage tells HubSpot how likely a deal in that stage is to close. For a "Standby" stage, you might set it to 30% because these are deals you're putting on hold but might return to later. Compare that to a "Proposal Sent" stage, which might be 60%, or "Negotiation" at 75%.

These probabilities automatically flow into your forecasting reports, giving your leadership team realistic pipeline visibility without manual calculations.

Make Your Pipeline Work For You

The beauty of customizable stages is that they reflect your actual sales process. Maybe you need a "Standby" stage instead of jumping straight to lost. Maybe you want to rename "Checkout Abandoned" to something that makes more sense for your team. The flexibility is there for you to use.

Once you've set up your stages the way you want them, you're ready to start moving deals through your pipeline. That's when the real magic happens. Your humans are working with a system that actually matches how they sell, and that makes all the difference in adoption and results.
